The Letting Process

We will visit you at your property, and provide a rental valuation, advise on letting requirements and offer any other advice which you may require regarding the letting of your property.

We will begin extensively marketing your property in the following ways:

  • 7 Photographs and full description will appear on this website.
  • 6 Photographs and full description will appear on Rightmove.co.uk and Propertyfinder.com and in turn will appear on TimesOnline, Telegraph.co.uk, Google property search, Channel 4 Homes, Yahoo property search and Wanadoo property search, Look4aproperty.co.uk and email4aproperty.co.uk
  • Details will appear in a relevant property paper/magazine, we currently place regular adverts in the Advertiser Series (Durham and County Durham), House Hunter (region wide) and the Saturday Journal Homemaker (region wide).
  • A property description will appear in our office and sent to any interested tenants via email or post.
  • The property will appear in our fortnightly email property list which is sent to all registered tenants.
  • Property details will be sent via our exclusive text service.
  • We will match the property details with our current tenant waiting list.
  • A To-Let board can be erected at the property - we always advise a board is erected, boards still help to generate a huge amount of interest.

We will arrange to meet tenants at the property and provide a full information pack and application form. We ask all tenants to pay an initial holding deposit while we carry out our tenant and reference checks, this helps eliminate any unnecessary delay in letting your property.

A full credit and reference check will be carried out independently via our referencing company 'Homelet', a report usually takes no longer then 4-7 days to be completed.

Once we receive a satisfactory reference we will arrange a moving date with the tenant and draw up a suitable tenancy agreement and standing order mandate, we will usually take one months rent, a security bond and our administration fee from the tenant at this point.

We will carryout a full inventory and schedule of condition at the property, this will usually be carried out by our independent inventory company 'Inventory Clerk', this ensures should there be any disputes at the end of the tenancy we have an independent report to refer to.

We will check the tenant into the property, provide them with all the necessary information in our comprehensive information pack and most importantly provide them with our 24 hour emergency contact number, tenants can be assured they can contact us 24 hours a day 365 days a year via our dedicated Tenant Contact Centre, whether they need to report an emergency or maintenance issue.

During the tenancy we will make regular property inspections, usually at three monthly intervals. Should there be a problem at the property we will make a full report and advise accordingly.

When maintenance issues occur we will deal with most issues immediately. Repairs up to an agreed level with yourself, usually £200 will be authorised without authority from yourself. For larger works an estimate will be provided from our maintenance company. Should an emergency occur which will exceed our agreed maintenance level and we can not contact you for health and safety reasons we will proceed with the maintenance/emergency.

You will receive your rental income minus our fee's and any further expenditure on a monthly basis. This will be paid directly into your account and you will receive monthly rental statement via post or email.

All statutory notices will be served on the tenant where necessary.

When the tenancy ends we will begin the letting process again avoiding void periods where possible.
